1. Policy overview
These policies apply to the LOTrack website, web application, APIs, and related support services (collectively, the “Service”). By creating an account or using the Service, you acknowledge these policies and agree to the Terms of Service.
LOTrack is an inventory and business operations platform. A business that creates a workspace controls the product, customer, supplier, employee, sales, and purchasing information entered into that workspace. LOTrack processes that information to provide the Service.
2. Privacy policy
Information we collect
- Account information, such as name, email address, authentication identifiers, role, and workspace membership.
- Business information, including business name, type, preferred currency, inventory rules, and team permissions.
- Workspace content entered by users, including products, stock activity, suppliers, customers, purchases, sales, returns, alerts, and notes.
- Billing records, including plan, payment status, transaction reference, and subscription identifiers. Payment card details are collected and processed by Paystack, not stored by LOTrack.
- Technical and security information needed to operate the Service, such as session data, timestamps, diagnostics, and security events.
How we use information
- Provide, maintain, secure, troubleshoot, and improve the Service.
- Authenticate users, enforce workspace roles, and prevent unauthorized access.
- Process subscriptions, verify payments, maintain billing history, and prevent fraud.
- Generate inventory analytics, alerts, reports, and exports requested by users.
- Respond to support, security, privacy, and legal requests and meet legal obligations.
Legal grounds
Depending on applicable law, processing is based on performance of our contract with you, legitimate interests in operating and securing the Service, compliance with legal obligations, or consent where consent is required. You may withdraw consent for future processing where consent is the applicable basis.
Sharing and providers
We do not sell personal information. Information may be shared with vetted providers strictly to operate the Service, including Supabase for database and authentication infrastructure, Paystack for payments and subscriptions, and the selected hosting provider for application delivery. We may also disclose information when legally required, to protect rights and safety, or during a business reorganization subject to appropriate safeguards.
International processing
Service providers may process information in countries other than your own. Where required, LOTrack will use appropriate contractual, organizational, or legal safeguards for cross-border transfers.
Retention
We retain account and workspace information while the account is active and afterward only as reasonably necessary for legitimate business, backup, dispute, fraud-prevention, and legal purposes. Retention depends on the data type and applicable obligations. Data may be anonymized instead of deleted where legally permitted.
3. Terms of service
Eligibility and accounts
You must have legal capacity to enter a binding agreement and use LOTrack for lawful business purposes. You are responsible for accurate registration information, account security, activities performed through your account, and promptly reporting suspected unauthorized access.
Workspace responsibilities
Workspace owners control invitations, roles, permissions, and business content. You must obtain any notices or permissions required before entering personal information about customers, employees, suppliers, or others. You remain responsible for the legality, quality, and accuracy of workspace content.
Acceptable use
- Do not break laws, infringe rights, or store illegal, deceptive, harmful, or malicious content.
- Do not probe, bypass, disable, or interfere with security, authentication, rate limits, or workspace separation.
- Do not upload malware, scrape at unreasonable volume, resell access without permission, or impersonate another person.
- Do not use LOTrack as the sole system for emergency, medical, financial, or safety-critical decisions.
Ownership
You retain rights in content you submit. You grant LOTrack a limited right to host, copy, process, transmit, and display that content only as needed to provide, protect, and improve the Service. LOTrack retains rights in the Service, software, branding, documentation, and product design.
Availability and changes
We work to keep LOTrack reliable but do not guarantee uninterrupted or error-free access. Features may change as the product develops. We will provide reasonable notice of material changes that negatively affect paid service where practical.
Suspension and termination
We may restrict access to protect the Service, respond to non-payment, comply with law, investigate abuse, or prevent harm. You may stop using the Service at any time. Workspace owners should export needed records before cancellation or deletion.
Disclaimers and liability
To the fullest extent permitted by law, the Service is provided “as available.” LOTrack does not guarantee particular business outcomes, inventory accuracy where input data is incorrect, or uninterrupted third-party services. Liability is not excluded where prohibited by law. Otherwise, indirect, incidental, special, punitive, or consequential losses are excluded to the extent permitted.
5. Billing, cancellations, and refunds
Trials and subscriptions
Eligible workspaces may receive a limited free trial. Paid plans renew automatically at the displayed interval until cancelled. Prices, currency, included features, and applicable taxes are shown before checkout. Paystack securely processes subscription payments.
Cancellation
Workspace owners or administrators may cancel automatic renewal from the Billing page. Unless required otherwise by law, cancellation takes effect at the end of the current paid period and access continues until that date.
Refunds
Subscription fees are generally non-refundable once a billing period begins, except where required by law or where LOTrack confirms a duplicate charge, incorrect charge, or material service failure. Requests should include the workspace, transaction reference, charge date, and reason. Approved refunds return through the original method and may take additional provider processing time.
Failed payments and plan changes
Access to paid features may be limited after failed or overdue payments. Plan changes may affect features, limits, and future charges. Price changes for renewable subscriptions will be communicated in advance where required.
6. Data security and incidents
- Workspace-level row security and authenticated access controls.
- Owner, administrator, and staff roles with configurable permissions.
- Server-side handling of service-role and payment secret keys.
- Payment verification and signed Paystack webhook validation.
- Audit-oriented stock, sales, returns, purchases, and billing records.
- Reasonable technical and organizational controls appropriate to the Service.
No online system is completely risk-free. Users should use strong unique passwords, protect their devices, grant minimum necessary permissions, review team access, and report suspicious activity promptly. If a breach creates a legally reportable risk, LOTrack will notify affected parties and regulators as required.
7. Your privacy rights
Subject to applicable law and identity verification, individuals may request information about processing and ask to access, correct, delete, restrict, object to, or receive a portable copy of their personal information. Individuals may also withdraw consent where processing relies on consent and lodge a complaint with their data protection authority.
Some requests may be limited by legal obligations, security needs, the rights of others, or records required for legal claims. Workspace business data is usually controlled by the workspace owner; requests about data entered by a business may need to be directed to that business.
8. Questions, requests, and policy updates
For privacy, billing, security, or legal questions, contact LOTrack through the authenticated support channel associated with your workspace. Include enough information to identify your account, but never send passwords, full card details, secret API keys, or authentication credentials.
We may update these policies when the Service, providers, or legal requirements change. Material changes will be communicated through the Service or another appropriate channel. The effective date and version show the current revision.
